Privacy Policy

Effective September 1, 2026

1. Scope

This policy describes information handled by DödPool's public pages, accounts, invitation-based registration, private pools, games, administration, notifications, and Död Feed.

2. Account information

We handle account name, email, required username, password and security state, email-verification state, MFA configuration state, optional timezone, account status, age affirmations, and Terms acceptance. Passwords are stored using secure hashing rather than as readable passwords.

Your username is the default identity shown to other Players in pool-facing views. You may choose to show your real name instead. A username does not provide complete anonymity: Commissioners and platform administrators may see real identity when needed for administration, security, accounting, or audit functions.

3. Pool, game, and payment-tracking data

We handle pool relationships and roles, invitations and delivery status, membership and eligibility state, celebrity submissions, assignments, keeper choices, participation, results, and related history. Payment-tracking records may include payment type, amount, dates, method, external reference or evidence metadata, Commissioner confirmations, reversals, and corrections.

DödPool does not process payment-card or bank transactions and does not hold pool funds. Commissioners and members arrange pool payments externally.

4. Celebrity, news, and death-review data

Celebrity records may include identity, canonical Wikipedia URL, Wikidata identifier, date-of-birth metadata and provenance, submissions, pool history, and death-review evidence. Död Feed stores limited article metadata such as headline, source, URL, publication or observation time, short provider snippets when available, matching data, and classification metadata. It does not store full news article bodies.

News reports and Wikidata signals are review inputs, not verified game results. Death-review signals, evidence, and hold history may be recorded for Commissioners to review.

5. Communications

We handle delivery and deduplication metadata for required transactional messages such as invitations, membership and game notices. Daily Död Digest, Health Alerts, and Reported Death Alerts are optional and independently configurable. Optional delivery is checked against current preferences and pool access before sending.

6. Security and operations

We handle audit logs, authentication and access events, notification delivery history, and bounded operational diagnostics needed to secure, operate, troubleshoot, and explain the service. Material administrative actions are recorded to preserve accountability.

7. Public and private areas

Marketing, help, rules, and legal pages are public. Pool membership, Current Död Pool, Pool Memoriam, Död Feed, assignments, pool-scoped results, and Commissioner administration are access-restricted to authorized users. Platform Owner access is administrative and monitoring-oriented and does not automatically create pool membership. Access controls reduce disclosure risk but are not a promise of absolute secrecy.

8. How information is used and disclosed

Information is used to provide accounts, pool and game features, eligibility, external-payment tracking, notifications, security, support, audit, and operational monitoring. Pool information is shown to authorized members or Commissioners according to their relationship and capability. We may use service providers for email delivery, hosting, queues, and infrastructure without describing an unconfigured vendor as a product partner.

9. Third-party sources and links

DödPool uses official Wikimedia services, including Wikipedia and Wikidata, for celebrity identity and structured metadata, and may use GDELT for news metadata. Article and Wikipedia links lead to third-party sites with their own privacy practices. DödPool does not fetch full articles for display or bypass publisher access controls.

10. Cookies and sessions

DödPool uses cookies and server-side session data needed for authentication, security, request protection, and keeping you signed in. The current product does not use advertising or behavioral-tracking cookies. No consent banner is used for these necessary service functions.

11. Retention

Records are retained according to current product integrity needs rather than a promised automatic timetable. An unused pool may be permanently deleted only under strict no-history conditions. Pools with meaningful game or financial history are archived and preserved. Immutable game, assignment, accounting, payment-evidence, result, death-review, and audit records may be retained to protect historical integrity. Provider-global article metadata may remain even when a pool-scoped match is removed.

12. Questions and requests

Contact contact@dodpool.com with privacy questions or requests concerning access to, correction of, or deletion of account information. Requests are evaluated against identity, security, authorization, and historical-integrity requirements; this policy does not promise deletion of records the service must preserve.
